Your Role as Payroll, Specialist:

 

A Payroll Specialist under the Pandora Americas Shared Services model is responsible for providing customer service and executing end to end payroll processes. Payroll Specialist will provide coordination and continuous improvement of current business processes within the payroll department. End to end processing includes payroll support for multi-entity, multi-frequency submissions.  Duties include preparation, review of payroll data, calculation of exception items, garnishments, and administration of time and attendance system. Payroll Specialist will also assist department with other payroll-related projects as needed. 

 

Key responsibilities include:

 

  • Supports the Pandora Americas Shared Service payroll process as one of the primary subject matter expert including the calculation, auditing, preparation and submission of payroll for NAM. 

  • Ability to execute extremely deadline driven tasks in a timely and effective manner. 

  • Positive, pleasant and approachable demeanour with customer centric mindset.  

  • Research and resolve payroll issues through Zen Desk Payroll ticketing system. 

  • Collaborates with business partners and management to provide properly controlled processes to meet internal/external customer needs. 

  • Participate in internal and external audits 

  • Maintain payroll expertise by staying up to date on statutory compliance. 

  • Maintain employee payroll garnishments. 

  • Process off-cycle payrolls and manual payments upon approval. 

  • Payroll Processing: Administer accurate bi-weekly/weekly multi-state payrolls for 10,000+ retail employees using Dayforce and UKG (formerly Kronos/Ultimate Software).  

  • HRIS Data Integrity: Manage and audit employee data, job changes, and organizational structures within SAP SuccessFactors. 

  • Retail Time & Attendance: Reconcile timekeeping data, commission structures, bonuses, and tip allocations unique to the retail industry. 

  • Compliance: Ensure adherence to federal, state, and local wage and hour laws, including FLSA, overtime rules, and multi-state tax withholding. 

  • Reporting & Auditing: Run variance reports, conduct pre- and post-calculation audits, and assist with quarter-end/year-end reconciliation.  

  • Employee Support: Serve as a subject matter expert to resolve payroll discrepancies, tax inquiries, and benefit deduction issues. 

  • Coordinate payroll-related activities with Human Resources, Finance, and Benefits teams. 

  • Generate payroll reports and assist with month-end, quarter-end, and year-end activities.  

  • Support audits and maintain payroll documentation in accordance with company policies.  

  • Assist with system testing, upgrades, and process improvements within UKG.

  • Bachelor’s degree  

  • 8-10 yrs high volume payroll experience 

  • Experience with UKG (Ultimate Software), Success Factors and Dayforce or Enterprise Time Keeping a must 

  • Experience with processing payroll adjustments and W2C’s in UKG 

  • Strong understanding of appropriate tax jurisdiction based on work and resident state 

  • Strong analytical capability to understand calculations for various pay components 

  • Knowledge of tax regulations, benefits administration, and compliance procedures is critical to avoid errors and legal penalties 

  • Experience: 3–5+ years of high-volume, multi-state payroll experience in retail, hospitality, or a similar high-turnover industry. 

  • Strong Microsoft Excel skills, including the ability to work with large data sets, formulas, and reconciliations 

  • High level of accuracy and strong attention to detail 

  • Knowledge of payroll laws, tax regulations, garnishments, and deductions 

  • Ability to maintain confidentiality and handle sensitive employee information 

  • Strong communication and problem-solving skills 

  • Ability to work independently and manage deadlines in a fast-paced environment 

  • CPP designation is a plus

New York Salary: $93,000 – $116,200 commensurate with experience
