The role

 

People Services sits within the People Services and Employee Relations Team, supporting circa 2700 employees across the business through their end-to-end employee lifecycle, while also enabling the delivery of people-focused initiatives across the wider organisation.

 

As a People Services Administrator, you’ll manage a high volume of queries and administration tasks across the employee journey - from starters and internal moves, to leavers, references, system updates and other ad-hoc people initiatives.

This role is all about making sure processes are accurate, timely, compliant and easy for everyone to navigate. You’ll support teams across the business by progressing tasks through our case management system, maintaining data quality, organising documentation, and helping the wider People team deliver initiatives that improve the employee experience and operational excellence.

What to expect from the role

 

PEOPLE ADMIN SUPPORT

  • Provide a high standard of first-line support and guidance to managers and employees on all aspects of the employee lifecycle, ensuring adherence to relevant employment laws and internal guidance
  • Triage and progress cases in line with the Tier 1 / Tier 2/ Tier 3 service framework, whilst meeting SLAs
  • Complete compliance checks including Right to Work, in line with legal requirements
  • Raise and track purchase orders (PO’s) and people admin requests via cases
  • Input and update data accurately across People systems in line with GDPR
  • Support formal meetings, note-taking and other ad-hoc ER activities
  • Flag complex or specialist queries to the right SMEs
  • Enable self-service by signposting policies, guidance, and tools for resolution at source

 

EMPLOYEE LIFECYCLE

  • Manage administration across starters, movers, leavers, contractual changes, references, and all leave and absence records
  • Oversight and timely progression of all employee lifecycle activity through the case management system providing first-contact resolution where possible
  • Effective management of our HR system, processing and approving workflows across the entire employee lifecycle, ensuring accuracy
  • Enable self-service by signposting policies, guidance, and tools for resolution at source
  • Identify and support process improvements, ensuring greater efficiency and consistency across People Services
  • Input data accurately and promptly across numerous people systems ensuring compliance with data protection
  • Support with ad-hoc projects and initiatives


CONTINUOUS IMPROVEMENT

  • Support continuous improvement of all lifecycle processes, simplifying where possible and creating operational efficiencies
  • Take an employee-cantered approach that aims to improve the employee experience wherever possible
  • Stay up to date on legislative and policy updates, applying learnings to guidance and documentation

 

OTHER ACTIVITY

  • Support the wider People Team (including HR Business Partnering, ER, Talent Acquisition etc.) with admin, queries and escalations to ensure great a people experience and seamless people processes
  • Ensure information and documentation are stored securely in line with data protection
  • Support with the delivery of the Pandora’s People Strategy ensuring all activities are in line with our values and ethos
  • General administrative support
  • Project support for wider People Team as required

 

The successful candidate

 

  • Experience in an administrative or operational support role, ideally within HR, People Services or a shared services environment
  • Experience handling high volumes of transactional work while maintaining accuracy and attention to detail
  • Experience using systems to input, update and maintain records (HR systems experience is desirable but not essential)
  • Experience working to deadlines and service levels in a fast-paced environment
  • Experience handling sensitive or confidential information appropriately
  • Experience working as part of a team, supporting shared objectives and priorities
